Over time, your company will run many advertising campaigns on different media platforms. And, this may also be a necessary and unavoidable part of your business. This is where this template comes in handy. It logs, organizes, and keeps track of your company’s advertising campaigns. On top of that, this template provides formulas that could help you figure out how well each ad works and make decisions about future advertising strategies based on data.

This database template is designed to store information about a company’s multi-platform advertising campaigns. It includes information about the campaigns, advertisements, platforms, performance metrics, and a bit about your team. Your managers, executives, and marketing professionals could use this template as a reference for your business’ future advertising strategies. The lookup tables for this template are Team, Platforms, and Advertisements. It’s better to begin populating these tables first as you work your way to the Campaigns table. Campaigns

Advertisements can be run, used, and reused in multiple campaigns for regular or seasonal promotions, etc. This table holds information about your company’s advertising campaigns, such as the campaign titles, start and end dates, status, and costs for each campaign. Basically, this table links together almost all of the information in this database. A table row’s background turns yellow if the record on that row isn’t complete. This is to remind the user that they might have forgotten to fill out the information about a campaign.

Fields

  • Title. A unique name or identifier for the campaign. You may include the purpose or the season when the campaign will be running.
  • Advertisement. This field is linked to the Advertisements table, indicating the advertisement used for this campaign.
  • Priority. This is a single select field that indicates the level of urgency for this campaign.
  • Description. A detailed description of this campaign, highlighting its objectives and target audience.
  • Category. A multiple select field that specifies the categories or industry this campaign belongs to.
  • Platform. This field is linked to the Platforms table and shows where this campaign was or should have been released.
  • Rating. A graphical representation of how well this campaign performed, with 5 thumbs up being the best and 1 thumbs up being the worst.
  • Status. A single select field that indicates the progress status of this campaign.
  • Frequency. A single select field indicating how often this campaign will be running during its release.
  • Start date. The start date of this campaign, usually the date when the first ad will be launched.
  • End date. The end date of this campaign, usually the date when the last ad will be accessible in public.
  • Lead. This field is linked to the Team table, indicating the team leader for this campaign.
  • Team. This field is linked to the Team table, indicating the participating team members for this campaign.
  • Cost. The actual or estimated cost applicable to this campaign.
  • Impressions. The number of times the ad for this campaign was displayed on the platform, which is a measure of its reach and visibility.
  • Clicks. The number of times the ad for this campaign was clicked by users, which is a measure of its engagement and interest.
  • Conversions. The number of times the ad for this campaign led to a desired action, such as a sale, sign-up, or download, which is a measure of its effectiveness.
  • Attachments. Any supporting document or image used with this campaign.
  • Date created. This is the date this record was created.

Views

  • All campaigns. Displays all campaigns without filters, sorted by Start date from oldest to the most recent, then alphabetically by Title.
  • By priority. Displays a kanban view of all campaigns, stacked by Priority.
  • By status. Displays a kanban view of all campaigns, stacked by Status.
  • By frequency. Displays a kanban view of all campaigns, stacked by Frequency.
  • Add campaign. Displays a form view that facilitates adding campaigns to this database.

Advertisements

This table holds information about the ads that are part of your organization’s campaigns, such as their type, title, description, start date, end date, and a summary of the campaign statuses to which each ad is linked. It is also linked to the Campaigns table, which connects each ad to the campaign or campaigns it belongs to. Make sure every ad you have has a link to the Metrics table so you can see how it does and how well it works.

Fields

  • Name. A unique name or identifier for this advertisement.
  • Type. A single select field that indicates the type of ad, which can be any format or layout supported by the platform, such as image, video, carousel, story, reel, copywrite, etc.
  • Description. A detailed description of the ad, which should highlight the main benefits or features of the product or service being advertised.
  • Status. A formula that summarizes the status of all campaigns using this ad. It groups the campaign statuses into four categories and in the following order: completed, running, in queue, and cancelled.
  • Platforms. This field is linked to the Platforms table and shows the platforms or media this ad supports.
  • Media URL. A URL for the ad material if it’s available or accessible online.
  • CTA URL. A URL of the call-to-action link assigned for this ad.
  • Submitted by. This field is linked to the Team table, indicating the team member who created or submitted this ad.
  • Metrics. This field is linked to the Metrics table, indicating the record that returns more metrics information for this ad.
  • Is SEO friendly. A checkbox that indicates whether this advertisement is search engine optimization friendly for online publication.
  • Attachments. Any supporting document or image used with this ad.
  • Average campaign rating. A formula field that gets the average rating of all campaigns that used this ad. This field is hidden by default.
  • Campaigns cost. A formula field that gets the sum of all campaign costs related to this ad. This field is hidden by default.
  • Campaigns impressions. A formula field that gets the sum of all campaign impressions related to this ad. This field is hidden by default.
  • Campaigns clicks. A formula field that gets the sum of all campaign clicks related to this ad. This field is hidden by default.
  • Campaigns conversions. A formula field that gets the sum of all campaign conversions related to this ad. This field is hidden by default.
  • Related campaigns. This field is linked to the Campaigns table, specifying all campaigns that used this ad.

Views

  • All advertisements. Displays all advertisements without filters, sorted alphabetically by Name.
  • By type. Displays a kanban view of all advertisements, stacked by Type.
  • Add advertisement. Displays a form view that facilitates adding advertisements to this database.

Platforms

This table stores information about the places where the ads are shown, such as social media sites, search engines, and websites. It includes fields such as the platform title, type, channel, and more. An advertisement can support one or more platforms, while a campaign can use at least one.

Fields

  • Title. A unique name or identifier for this platform, which can be any media or advertising platform that the campaign will be using.
  • Type. This is a single select field that specifies this platform’s type of media.
  • Channel. The media channel, account, or identifier.
  • Notes. Any notes or remarks about this platform.
  • Published URL. The website URL where campaigns or ads are uploaded for this platform.
  • No. of campaigns. A formula field that counts the number of campaigns that used this platform.
  • No. of ads. A formula field that counts the number of ads supporting this platform.
  • Related campaigns. This field is linked to the Campaigns table, specifying the campaigns that used this platform. This field is hidden by default.
  • Related advertisements. This field is linked to the Advertisements table, specifying the ads supporting this platform. This field is hidden by default.

Views

  • All platforms. Displays all platforms without filters, sorted alphabetically by Title.
  • By type. Displays a kanban view of all platforms, stacked by Type.

Team

By linking records in this table to records in other tables, you can assign campaign managers and teams and keep track of who created or submitted ads. This table also lets you quickly see how many ads and campaigns your team members have been a part of. If a team member hasn’t taken part in any campaigns or ads yet, the background of his row will turn gray.

Fields

  • Name. A unique identifier and also the full name of this team member.
  • Photo. The photograph of this team member.
  • Expertise. This is a multiple select field, indicating this team member’s various fields of expertise.
  • No. of campaigns. A formula field that counts the number of campaigns this team member has led or participated in.
  • No. of ads. A formula field that counts the number of ads this team member has created or submitted to this database.
  • Phone number. The current phone number of this team member.
  • Email. The current email address of this team member.
  • Address. The current home address of this team member.
  • Notes. This long text field is for any notes or remarks about this team member.
  • Related campaigns lead. This field is linked to the Campaigns table, specifying the campaigns that this team member has led or managed. This field is hidden by default.
  • Related campaigns participated. This field is linked to the Campaigns table, specifying the campaigns that this team member has participated in. This field is hidden by default.
  • Related ads submitted. This field is linked to the Advertisements table, specifying the ads that this team member has created or submitted. This field is hidden by default.

Views

  • All team members. Displays all team members without filters, sorted alphabetically by Name.
  • Team members. Displays a gallery of all team members, sorted alphabetically by Name.
  • Add team member Displays a form view that facilitates adding team members to this database.

Metrics

This table holds information about how well the ads are doing, such as the number of impressions, clicks, conversions, cost per click (CPC), cost per impressions (CPM), and other key performance indicators (KPIs). A row’s background color turns red if a metrics record has not been assigned to an advertisement yet.

Fields

  • ID. An autogenerated primary key that serves as the unique identifier for this metrics record.
  • Advertisement. This field is linked to the Advertisements table, indicating the specific ad this metric record is for.
  • Average rating. A formula that gets the average of the campaign ratings for the related ad.
  • Total budget. A formula that gets the total cost of all campaigns for the related ad.
  • Impressions. A formula that gets the sum of all ad campaign impressions for the related ad.
  • Clicks. A formula that gets the sum of all ad campaign clicks for the related ad.
  • Conversions. A formula that gets the sum of all ad campaign conversions for the related ad.
  • Cost per impression. A formula that calculates the average cost incurred for each thousand impressions of the ad in all its campaigns, which is calculated using the Total budget and Impressions fields.
  • Cost per click. A formula that calculates the average cost incurred per click on the ad in all its campaigns, which is calculated by dividing Total budget by Clicks.
  • Effectiveness. A formula that calculates the related ad’s effectiveness rating, which is calculated using the Impressions and Conversions fields.

Views

  • All metrics. Displays all metrics records without filters, sorted by ID.
  • Add metrics. Displays a form view that facilitates adding metrics records to this database.
