This is not another recipe template, nor your usual grocery list. We all know that planning ahead—and especially what to eat—is a normal part of life today. That includes going to the store to buy food and other necessities. The best way to do your grocery shopping is to go to the store only once and get everything you need for the week. This will save you time and money. This template is meant to help you make plans for meals and other related activities. Plus, it sorts out everything you need from the stores. It also helps you estimate how much money you’ll need for each store you need to go to.

This may be the most comprehensive grocery list database and planner you’ll ever use! This template has many features that will help you manage and plan your grocery shopping. If you’re in charge of groceries at home or at work, you should definitely check out this template. This database template offers the following:

Grocery items

This is where all your grocery items and their details should be stored. This table also serves as a lookup list for the Meal plans and Activity plans tables. The background color of all grocery items that are currently not needed or not part of your scheduled plans turns blue. Also, every row is marked by colored bars along the left border, indicating the status of the grocery item record.

Fields

  • Name. A unique name or identifier for this grocery item.
  • Photo. Any photo or photos of the grocery item can be uploaded and attached to this field.
  • Status. A single select field indicating your grocery item’s shelf status in your own pantry or home. You’ll have to update this before and during or after grocery shopping.
  • Quantity. The number or quantity of items you need to buy. Some items are sold and priced per set packaging, and some are sold per customized volume. For example, if you need just half a kilo of “ground beef (1 kg),” just type in 0.50 and leave the MSRP at the default per kilogram. You can use the Upcoming plans field as a guide on how much you need.
  • Upcoming plans. This is a formula field that displays the number of upcoming meal and activity plans that require this specific grocery item. This field could serve as a guide to figuring out the quantity of each item you need to buy.
  • Category. This is a single select field specifying the type of this grocery item. It may help you save steps while walking around the grocery store, thus saving time.
  • Description. A full description of this grocery item. This could also be used if you plan to share your list with a friend or with someone who is willing to do your grocery shopping for you.
  • Notes. Any other remarks or brief description about this grocery item.
  • MSRP. The manufacturer’s suggested retail price of this grocery item, or your own estimate of the item’s price per packaging or volume.
  • Total price. This is a formula field for calculating this grocery item’s total price based on the quantity and MSRP information.
  • Shop. This field is linked to the Shops table, indicating which store you usually frequent for this grocery item.
  • Date added. This field automatically indicates the date and time this grocery item was added to this table.
  • Date updated. This field automatically indicates the date and time this grocery item row was last updated.
  • Related meal plans. This field is linked to the Meal plans table, linking this grocery item row to a plan record in Meal plans. This field is hidden by default.
  • Related activity plans. This field is linked to the Activity plans table, linking this grocery item row to a plan record in Activity plans. This field is hidden by default.
  • Latest plans for sorting. This formula field adds up all upcoming plans related to this grocery item. This field is hidden by default.
  • Has upcoming plans. This formula field returns a boolean value of true if there are upcoming plans related to this grocery item; otherwise, false is returned. This field is hidden by default.
  • Shop for sorting. A formula field that converts the Link-to-table field, Shop, into text for sorting purposes. This field is hidden by default.

Views

  • All grocery items. Displays all grocery items without filters, sorted by Has upcoming plans, Shop for sorting, Category, and Name.
  • Add grocery item. Displays a form view that facilitates adding grocery items to this table.
  • To get list. Displays grocery items that haven’t been bought, sorted by Shop for sorting, Category, and Name.
  • Grocery items. Displays a gallery view of all grocery items, sorted alphabetically by Name.
  • Grocery items to get. Displays a gallery view of grocery items that haven’t been bought, sorted alphabetically by Name.
  • Groceries by category. Displays a kanban view of all grocery items, stacked by Category.
  • Groceries by status. Displays a kanban view of all grocery items, stacked by Status.

Grocery days

Use this table to plan all of your trips to your favorite grocery stores or shops. You only need to write down dates and tick checkboxes to show that the grocery trip has been done. The background color of a grocery day turns green for completed grocery trips.

Fields

  • Grocery day. A Date field for unique dates as an identifier for this record or row. This is your planned or scheduled date to go to the grocery store and do your shopping. This date is also key information included in your plan tables, Meal plans and Activity plans.
  • Is fulfilled. This is a boolean field that you have to manually change to show that you’ve already bought the groceries you need for your plans.
  • Estimated cost. This is a formula field that calculates your total estimated cost for this grocery run.
  • Date added. This field automatically indicates the date and time this grocery day was added to this table.
  • Date updated. This field automatically indicates the date and time this grocery day row was last updated.
  • Related meal plans. This field is linked to the Meal plans table, linking this grocery day row to plans in Meal plans. This field is hidden by default.
  • Related activity plans. This field is linked to the Activity plans table, linking this grocery day row to plans in Activity plans. This field is hidden by default.

Views

  • All grocery days. Displays all grocery days without filters, sorted by Is fulfilled and Grocery day fields.
  • Add grocery day. Displays a form view that facilitates adding grocery days to this table.
  • Grocery days to run. Displays unfulfilled grocery days, sorted by Grocery day from oldest to the most recent.
  • Grocery days for the month. Displays all grocery days for the current month, sorted by Is fulfilled and Grocery day fields.

Meal plans

There is a separate template for recipes, and this table is just for listing all items required for your meals. Set your meal plan and the day you’ll go grocery shopping on this table. To help you identify which schedules to correct, the background color of meal plans with conflicting plan and grocery trip dates turns red. At the same time, the background color turns green for meal plans that have already been completed.

Fields

  • ID. An autogenerated primary key that serves as the unique identifier for this meal plan record or row.
  • Plan date. The date you plan to have this meal.
  • Schedule status. This is a formula field that will automatically tell you how the Plan date compares to the Grocery day of this plan. It also indicates whether this plan’s grocery day has already been completed.
  • Meal. The name or title of this meal plan. It could also be the name of the dish.
  • Notes. Any other remarks or brief description about this meal plan.
  • Grocery day. This field is linked to the Grocery days table, indicating the date when you plan to buy all items required for this plan.
  • Items. This field is linked to the Grocery items table, specifying all grocery items needed for this meal plan.
  • Estimated cost. This is a formula field that figures out how much this meal plan is likely to cost based on the list of grocery items in the Items field.
  • Date added. This field automatically indicates the date and time this meal plan was added to this table.

Activity plans

Use this table to plan your extracurricular activities, and then set a date to go grocery shopping before your activities. This way, you won’t forget anything you need to bring with you. To help you figure out which schedules need to be changed, the background color of activity plans with grocery trip dates that conflict turns red. At the same time, the background color changes to green when an activity plan has been completed.

Shops

In this table, list all of your favorite stores that you frequent. It would also be helpful if you would indicate how far these shops are from your home. This makes it easier to plan which shops to visit first and which to visit last. When you have things to buy in a certain shop, a green bar shows up on the left side of a row.

Fields

  • Name. A unique name or identifier for this shop or store.
  • Photo. Any photo or photos of the grocery store or shop can be uploaded and attached to this field.
  • Items count. This is a formula field that counts all the grocery items to buy in the Grocery items table that you might find in this shop. It excludes items that you currently don’t need.
  • Category. This is a single select field indicating the type of store of this shop.
  • Description. This field lets you describe all you need to know about this shop.
  • Distance from home (km). This is a number field that lets you specify how close or far this shop is from your home. This may help you plan your trip to multiple shops and give you an idea of which stores to visit first or last (by referring to the Shops to visit grid view).
  • Address. The complete address of this shop.
  • Phone. The current phone number of this shop.
  • Email address. The current email address of this shop.
  • Website. The website of this shop.
  • Total items price. This is a formula field that estimates the total price of all items you need to buy from this shop. This may give you an idea of how much money you need to prepare before visiting this shop.
  • Is active. This is a boolean field, indicating whether this shop is still in business or still part of your options.
  • Related grocery items. This field is linked to the Grocery items table, which lists all the food items that might be sold in this shop. This field is hidden by default.

Views

  • All shops. Displays all shops without filters, sorted alphabetically by Name.
  • Add shop. Displays a form view that facilitates adding shops or grocery stores to this table.
  • Shops to visit. Displays all shops where there are still pending grocery items to buy, sorted by Distance from home (km) from the closest store to the farthest, and by Name from A to Z.
  • By category. Displays a kanban view of all shops, stacked by Category.
